Regatta Invoicing Policy

Dragon Boat Victoria uses crew lists to determine the number of participating paddlers to invoice each club.

The number of participating paddlers for an invoiced club is a combination of: 

  • that club’s members who are on crew lists, and
  • any member of another club who padded a majority of their races for that club, as long as they are not also paddling at the regatta for their home club.

Once crew list are submitted and locked from changes, if anyone does not participate due to sickness etc then the club must email DBV ( administration@dragonboatvictoria.com.au) of this within 48 hours of regatta finishing.

Once invoicing is finalised, then unless the club has extenuating circumstances, the full amount will be due.

If a club has someone pull out after crew lists have been locked and does not advise DBV within 48 hours, then the club must pay the fee for that person, whether the club recovers the fee from that person or not.

Cancellation Policy

If DBV has a regatta cancelation in a full 12-month season (July to June next year ) then DBV will enforce a cancellation fee for all remaining regattas in the season.

A cancellation is considered to have occurred when the regatta is called off within 48 hours prior to the scheduled regatta start date and time.

Clubs that registered for the regatta will be invoiced a cancelation regatta fee of:

  • Small Club - Up to 15 people registered for the regatta - $150
  • Medium Club – between 15 and 25 people registered for the regatta- $250
  • Large Club – more than 25 people registered for the regatta- $300

To determine number of people registered for a regatta, DBV will use the same method as the invoicing policy regarding regatta participants.
